• Account details: the account holder's name, email address and phone number, and your sign-in.
• Player details: each player's name, date of birth, relationship to the account holder, and an optional emergency contact.
• Memberships and bookings: your plan, sessions booked or canceled, court rentals and drop-in visits.
• Payment details: card payments are handled by Stripe. We never see or store your full card number; we keep only the card brand, last 4 digits, expiry date and Stripe's reference numbers.
• Signed agreements: the name you type to sign, the date and time, your IP address and browser, and the version you signed.
• Facility access: the door codes issued for your bookings and a log of codes used at the door. The facility is also recorded by security cameras.
• Technical data: a sign-in cookie that keeps you logged in, and basic server logs (such as IP address and browser) used for security. We do not use advertising trackers.

• To create and manage your account, memberships, bookings and door codes.
• To charge the payments you choose, send receipts, and handle renewals, refunds and failed payments.
• To send account, booking and door-code emails. Marketing emails are sent only if you opt in, and you can opt out anytime.
• To keep the facility safe and secure, enforce our Terms and Facility Rules, and respond to incidents.
• To meet legal, tax and accounting obligations.

We do not sell or rent your personal information. We share it only with service providers that run the site for us, and only what each needs:

• Stripe — payment processing and card storage.
• Supabase — our database and sign-in system.
• Netlify — website hosting.
• Resend — sending our emails.
• Our on-site door access system — receives the door code and the player's first name for each booking, only for that session.
• Your Quinces Inc — the company that builds and operates this website for Shotz, under confidentiality.

We may also disclose information when required by law, to protect someone's safety, or to respond to a claim, and to a buyer if the business is sold.

All information is sent to these providers electronically over encrypted (HTTPS/TLS) connections, through their secure systems. We do not send personal information by unencrypted email or on paper.

• Every page and connection is encrypted (HTTPS).
• Card numbers are entered only on Stripe's secure page and never reach our servers.
• Database access rules let each family see only its own records, and staff access is limited to the people who need it.
• Door codes are unique to each booking and stop working when the session ends.
• Changes made by staff are recorded in an activity log.

We keep account, membership and payment records while your account is open and as long as needed afterwards for legal, tax and dispute purposes. Signed agreements are kept as a permanent record. Security video is kept only as long as needed for safety and incident review.

Accounts are held by adults 18 and over. Players under 18 are added by a parent or legal guardian, who manages their information. We do not knowingly collect information directly from children.

• Update your details anytime under My account.
• Opt out of marketing emails in your profile or with the link in any marketing email.
• Ask us for a copy of your information, or to correct or delete it, by contacting us below. We may keep what the law requires.

If we change this policy, we will post the new version here with a new effective date, and tell members by email about important changes.
